Many IT emergencies are not completely unpredictable. Warning signs often exist in recurring faults, unsupported systems, weak access controls, single points of failure and backups that have never been restored.
Identify critical workflows
Start with the activities the business cannot operate without. Map the users, devices, applications, network links, suppliers and data behind each workflow.
Remove known weaknesses
Repeated workarounds and ageing equipment create operational debt. Record recurring faults and prioritise permanent fixes according to business impact.
Strengthen access and email security
Protect administrator accounts, use multi-factor authentication and review how suspicious email and account activity is reported.
Test recovery rather than trusting reports
A successful backup job does not prove the organisation can restore the right data within an acceptable time. Test the recovery process and document who makes decisions during an incident.
Keep essential information available
Supplier contacts, system ownership, administrator access and recovery instructions should be protected and accessible when normal systems are unavailable.
